Manage Inventory
The CowCare Inventory page allows you to manage your drug inventory. Click the Inventory button in the left toolbar to open the Inventory page.
- Go to the Settings page and check the box for Use CowCare Inventory.
- Once inventory tracking is enabled, you must exit and reopen CowCare, and the Inventory option should then be available (see example below).
- Use the buttons at the top of the page to add new drugs, delete drugs, manage your drug lots, manage your drug losses, and manage your drug purchases.
- Double-click on any drug to open the inventory menu shown in the example above. Only drugs that are assigned to a protocol are shown in this list.

Use this option to set the date you received the drug.
As shown in the example above, you have the option to either record the amount of the Stock units (tubes) or the Reorder units (Buckets). Select the option you prefer, enter the value, and click Accept. The other fields in this form are optional as defined in the Settings page.
If this is the first time you are using CowCare Inventory, VAS recommends that you change your inventory values before entering purchases or losses.
Follow these guidelines when changing inventory values:
- You will need to set the Stock Units and the Reorder Units.
- The Stock Units is the type of unit that is used in the protocol to administer to the animal. In other words, is the protocol administered in tubes, milliliters (ml), bottles, and so on.
- The Reorder Units are how the drug is packaged. That is, are the drugs packed in cartons, boxes, etc.
- The SURU (Stock Units:Reorder Units) is a ratio that describes the relationship of the Stock Unit to the Reorder Unit, such as how many tubes (i.e., the Stock Unit) are in a box (i.e., the Reorder Unit) or how many bottles are in a carton.
Example: You order a bucket of tubes and there are 144 tubes in a bucket:
- The Stock Unit is tube.
- The Reorder Unit is Bucket.
- Therefore the SURU value in this case is tube:Bucket, 144.
- The remaining fields are optional, as defined in the Settings page.
Use this feature to reconcile the differences in the quantities of the selected drug in CowCare inventory.
Follow these guidelines when reconciling inventory quantities:
- Negative inventory amounts are shown in red at the top of the window.
- To change values directly in the grid, click in the column to edit the values.
- Use the Clear Values button to view a list of options for clearing specific values in the window.
- Use the Save Changes button to save your inventory changes.
